Privacy Policy

In short

Who we are

MilesMGR ("the app", "we") is a mileage and expense log for iPhone. This policy explains what the app does with your information. Contact: devmgr.app@gmail.com.

What the app stores on your iPhone

This information stays in the app's storage on your device. We have no copy of it and no way to see it.

Location

With your permission, MilesMGR uses your location, including in the background ("Always"), to notice when you start and stop driving and to measure the route. Location is used only to record trips. It is not used for advertising or profiling, and it isn't sent to us.

You can change this at any time in iPhone Settings → Privacy & Security → Location Services → MilesMGR. Without location access you can still log trips by hand.

Information sent to Apple

To turn coordinates into addresses, suggest addresses as you type, and recognise the kind of place a trip ended at (for example a grocery store), the app uses Apple's map services. These send the relevant coordinates or search text to Apple, under Apple's privacy policy. Sorting trips by place type can be turned off in Settings → Places & Auto-Classify.

Backups saved to iCloud Drive are stored by Apple in your iCloud account. Purchases are handled entirely by Apple; we never receive your payment details. Siri and Shortcuts requests are processed by Apple.

Optional AI tax assistant

The assistant is off unless you add an API key for an AI service you choose (Groq, Anthropic, OpenAI or another compatible service). When you ask it a question, the app sends your question and a summary of your records (totals, trip counts, vehicles and expense categories) directly from your iPhone to that service. If you turn on "Share individual trips", it also sends each trip's date, miles, purpose and addresses. If you tap "Ask AI" on a receipt (or turn on "Check receipts after scanning"), the app sends that receipt's store name, amount, date, the text read from it (with long numbers such as card numbers removed) and the purpose of the trip it is linked to, to suggest a category and whether it is deductible. Receipt photos and GPS routes are never sent.

That service handles the information under its own privacy policy. Your API key is kept in the iPhone Keychain and is never included in backups.

Optional team reports

If you turn on Send Reports to Employer, MilesMGR writes a monthly report into a folder you choose, usually one your employer has shared with you in OneDrive, iCloud Drive, Google Drive or Dropbox. The report contains the name you enter, your business trips for the month (date, start and end addresses, miles, business purpose, rate, amount and vehicle) and your toll and parking expenses (date, vendor and amount). Receipt photos, GPS routes and personal trips are not included.

Anyone with access to that folder, such as your employer, can read the reports. The folder is provided by Apple, Google, Dropbox or whichever service holds it, under that service's privacy policy. If you use the Team Dashboard as an employer, the app reads your drivers' reports from the folder you choose and saves your approvals there. Nothing passes through us.

Importing expenses

When you import a bank or card statement, the file you choose is read on your iPhone and only the charges you select are saved as expenses. MilesMGR never asks for a bank login and does not connect to your bank. If you set up the Apple Pay automation in the Shortcuts app, iOS passes the amount and merchant of each Apple Pay purchase to MilesMGR on your iPhone; purchases that aren't vehicle expenses are discarded.

What we don't do

This website

This website (not the app) uses the Meta Pixel, a small script from Meta (Facebook and Instagram). When you visit a page here, Meta receives your IP address, browser details and the page you viewed, and may use cookies to measure our ads and show them to people who visited. That is the only tracking on the website, and none of it happens inside the app. You can block it with your browser's tracking protection, a content blocker, or Meta's ad settings.

Notifications

Reminders, such as drives waiting to be sorted or a monthly report, are created on your iPhone. Nothing is sent to us to produce them.

Keeping or deleting your information

Your records stay until you delete them. You can delete single trips and receipts, or everything at once in Settings → Delete all data. Deleting the app also removes its data from your iPhone. Backups in iCloud Drive or another folder, and team reports in a shared folder, stay there until you or the folder's owner delete them. Because we hold none of your information, there is nothing for us to delete on our side.

The IRS generally expects mileage records to be kept for several years. Back up before deleting anything you may need.

Children

MilesMGR is meant for adults keeping tax records and is not directed at children under 13.

Changes

If this policy changes, we'll update it here and change the date at the top.
