devmgr.app@gmail.comSwitching to a new iPhone
Your trips, receipts and settings are stored on your iPhone, so they come with you in one of two ways.
If you move everything from your old iPhone
Set up the new iPhone with Apple's Quick Start, or restore it from an iCloud backup of your old one. MilesMGR comes across with all of your records. Open it and everything is there.
If you set up the new iPhone as new
- On your old iPhone, open MilesMGR and tap Settings → Backup & Restore → Back up now, or check that today's automatic backup is in the MilesMGR folder in iCloud Drive.
- On your new iPhone, sign in with the same Apple ID, install MilesMGR, and allow location access.
- Tap Settings → Backup & Restore → Restore from backup and choose the latest backup file (it ends in .json) from the MilesMGR folder in iCloud Drive, or wherever you saved it.
- If you bought MilesMGR Pro, tap Restore purchase in Settings to unlock it again. You never pay twice.
A restore brings back every trip, route, receipt, receipt photo and setting. It only adds what's missing, so restoring more than once won't create duplicates. Your AI assistant key isn't included in backups, so enter it again in Settings if you use the assistant.
Common questions
My drives aren't being recorded
In iPhone Settings → Privacy & Security → Location Services → MilesMGR, choose Always and turn on Precise Location. Also check that Low Power Mode is off, that tracking isn't paused on the Dashboard, and, if you use Work Hours, that the drive was inside them. You can always start a trip by hand from the Dashboard.
One drive was split into two trips, or two drives were joined
Open the trip and use Split trip at a stop, or select trips in the Trips list and tap Merge. Settings → Trip Tracking controls how long a stop has to be before a new trip starts.
A trip is marked red
Red means the trip is missing something the IRS expects, and the line under it says what. Missing addresses are looked up again the next time you open the app. Business trips need a business purpose of a few words, such as "Site visit, Acme Co."
What does "Commute" mean?
Driving between home and your regular workplace. The IRS treats it as personal, so it isn't deductible. Trips from one work location to another, or to a client, are business.
I'm an employee. Why don't I see a tax deduction?
Employees can't deduct unreimbursed mileage on a federal return. Choose Employee in Settings → Deduction or Reimbursement, enter your employer's rate, and MilesMGR shows what you're owed. Reports makes a monthly reimbursement request to hand in.
How do I back up or move to a new iPhone?
MilesMGR backs up once a day to its folder in iCloud Drive, or to a folder you choose, and keeps the last 7. On your new iPhone, install MilesMGR and use Settings → Backup & Restore → Restore from backup. You can also tap Back up now at any time. See Switching to a new iPhone for every step.
How do I get my records to my tax preparer?
Go to More → Reports, pick the year, and tap Send to my accountant: it shares the Excel workbook, the Mileage log PDF and the Expense report PDF together. Each one can also be viewed or shared on its own, and CSV files are there for other spreadsheets.
How does sorting by work hours work?
In Settings → Work Hours, set your days and hours and choose what happens to drives during them (usually Business) and outside them (usually Personal). Places come first: a saved business place such as a client, supplier or business bank is Business at any hour, a saved personal place such as your gym is Personal at any hour, and Home to Office is Commute. Add places in Settings → Places & Auto-Classify. Sorted drives wait under Review → Auto-sorted so you can check them.
Can I import expenses from my bank?
Yes, without sharing a bank login. Download a statement from your bank or card website as CSV, OFX or QFX, then go to Expenses → + → Import bank statement. MilesMGR picks out gas, tolls, parking and repairs for you to tick. To log Apple Pay purchases automatically, use Expenses → + → Log Apple Pay purchases and follow the one-time Shortcuts setup.
How do team reports work?
The employer makes a folder in OneDrive, iCloud Drive, Google Drive or Dropbox and shares it with their drivers. Each driver picks it in Settings → Send Reports to Employer (on OneDrive, first tap Add to OneDrive on the shared folder in the OneDrive app so it appears in Files), and MilesMGR adds a monthly report with business trips, tolls and parking. The employer picks the same folder in Settings → Team Dashboard to approve reports and export a payroll workbook.
The IRS announced a new mileage rate
Rates are updated with the app. Until then, add the official rate in Settings → Mileage Rates and it is used right away.
How does the free trial work?
Tap Start 5-Day Free Trial when you first open MilesMGR, or later from Settings. Everything is unlocked for 5 days, there's no charge, and nothing renews. Afterwards, drives are still recorded but new automatic trips stay locked until you buy MilesMGR Pro, a one-time purchase. Trips from the trial, trips you log by hand and backups stay free. The trial is tied to your Apple ID and can be used once.
Restore a purchase or ask for a refund
Use Restore purchase in Settings with the same Apple ID you bought with. Refunds are handled by Apple at reportaproblem.apple.com.
Not tax advice
MilesMGR helps you keep records. It isn't a tax advisor. For decisions about your return, check with a tax professional.
